Turn dental enquiries into confirmed appointments

AI answers timings, services, location, and consultation availability on WhatsApp, then books the visit through Cal.com. No diagnosis, no treatment advice, just faster scheduling for your front desk.

WhatsApp Cal.com

How it works for dental clinics

The conversation flow a customer actually experiences, end to end.

  1. 1

    Patient messages the clinic

A patient finds your number through Google, Instagram, or a referral and messages with a general question or a specific concern about a treatment.

  2. 2

    AI answers operational questions

The AI replies with clinic timings, services offered, location, and which days have consultation slots open, pulled from the knowledge base you set up once during onboarding.

  3. 3

AI asks which treatment they need

If the patient has not said, the AI asks one short qualifying question, such as whether they need a check-up, cleaning, or a specific procedure, so it can offer the right slot type.

  4. 4

The patient chooses a date or time

The AI shows real availability and lets the patient pick a slot that works for them, without a phone call, a hold queue, or a callback the next day.

  5. 5

    Booking is created through Cal.com

Once confirmed, the appointment is written to your connected Cal.com calendar automatically, with the patient's name, number, and requested treatment attached.

  6. 6

Complex or sensitive questions go to staff

Anything involving symptoms, pain, medication, insurance disputes, or a nervous patient who wants reassurance is flagged and handed to your front desk with the full chat history attached.

Medical content stays operational, never clinical

LeadCeleris should only ever answer questions about hours, services, location, pricing, and appointment availability for a dental clinic. It must not diagnose, recommend treatment, or interpret symptoms. Train the knowledge base with operational facts only, and route any message that mentions pain, symptoms, or medication straight to a clinician or your front desk.

Setup guide

Everything you need to configure LeadCeleris for dental clinics, in order.

01

Connect your clinic's WhatsApp number

Go to Channels in the LeadCeleris dashboard and link the WhatsApp Business number patients already message today. Most clinics connect the same number that is printed on their signage and Google Business profile, so there is no new number for patients to learn.

Confirm your profile name, display picture, and clinic hours match what is on your website before you go live. Mismatched hours are the most common reason an AI answer looks wrong on day one.

02

Train the AI on operations, not diagnosis

Add your services list, price ranges (if you quote them publicly), consultation duration, accepted insurance or payment methods, and clinic location in the Knowledge Base. Paste your website URL first, then fill gaps manually.

Deliberately leave out anything that reads like clinical guidance. LeadCeleris answers questions about the business, not the patient's mouth.

  • Services and typical consultation length
  • Location, parking notes, and clinic hours including holidays
  • Payment methods and whether you accept walk-ins
  • New patient intake requirements, such as ID or referral letters
03

Connect Cal.com for consultation slots

Under Integrations, connect Cal.com and map your event types to the treatments you want bookable by chat, such as "New patient consultation" or "Cleaning and check-up." The AI reads real availability, so it never offers a slot that is already taken.

If different dentists handle different procedures, set that up as separate Cal.com event types so the AI books the right person automatically.

04

Set escalation rules for clinical questions

In your escalation settings, add keywords and phrases that should pause AI and alert your team immediately: pain, swelling, bleeding, emergency, medication names, and anything about a specific diagnosis.

Per-contact pause means a human can take over one conversation, like a nervous or upset patient, without turning off automation for everyone else waiting on a routine booking question.

  • Pause on symptom or emergency keywords
  • Pause on insurance disputes or billing complaints
  • Route HOT tags (ready to book today) to whoever checks the inbox first each morning
05

Test with real patient scenarios, then go live

Send yourself five realistic threads before launch: a first-time enquiry, a price question, a reschedule request, a symptom mention that should escalate, and someone asking if you are open on a public holiday.

Once those answers are accurate, route new inbound WhatsApp traffic through the AI first and keep your front desk checking the shared inbox daily for the first week.

Frequently asked questions

Can the AI diagnose a problem or recommend treatment?+

No, and it should not be trained to. LeadCeleris is built to answer operational questions, timings, services, location, and booking, then hand clinical questions to your team. Keep diagnosis and treatment advice out of the knowledge base entirely.

What happens if a patient describes a symptom mid-chat?+

Add symptom and emergency keywords to your escalation rules. When one is detected, the AI pauses for that contact and alerts your staff, so a real clinician responds instead of the AI guessing.

Does this replace our front desk?+

No. It absorbs the repetitive questions, hours, prices, and availability, so your front desk spends more time on patients in the chair and on calls that genuinely need a person.
